The Coordinator: Lateral Partner Recruitment provides day-to-day coordination and administrative support to the Global Lateral Partner Recruitment team, with a strong focus on scheduling interviews, managing candidate logistics, and helping to deliver a smooth candidate and stakeholder experience. This position will work closely with the wider Commercial team and other Business Services teams globally, providing reliable coordination and administrative support when required.

Responsibilities

Essential Functions: 

 

Recruitment Coordination

  • Coordinate lateral partner candidate interviews working with the external recruiters and/or directly with candidates as well as partners and/or their legal practice assistants arranging times, booking meeting rooms or virtual meetings, and ensuring a smooth scheduling process from initial briefing through to completion
  • Manage complex interview logistics across time zones, helping to resolve calendar conflicts and keeping candidates, recruiters, and interviewers updated on arrangements
  • Prepare and send interview confirmations, agenda details, and supporting information to candidates and internal stakeholders in a timely and professional manner
  • Track interview stages and maintain accurate candidate pipeline records, ensuring recruitment systems and trackers are updated on a daily basis
  • Collect and collate interview feedback, following up with interviewers and supporting the Lateral Partner Recruitment team to keep processes moving efficiently
  • Support the administration of candidate documentation, including interview packets, business plans, lateral partner questionnaires (LPQ), and other recruitment materials
  • Liaise with internal teams such as Lateral Partner Integration, Risk Management, HR, Finance, and Business Development to support recruitment processes and candidate progression
  • Act as a professional point of contact for candidates and recruiters, helping to ensure a positive and well-organized experience throughout the process
  • Maintain and update candidate profiles in the applicant tracking system (LawCruit and viDesktop)

 

Onboarding and Team Support

  • Assist with preparing offer and onboarding documentation, liaising with relevant teams as needed
  • Work with Lateral Partner Recruitment and Integration teams to support pre-onboarding and onboarding activity to help ensure a smooth transition for successful candidates
  • Help prepare status updates, reports, and recruitment materials for internal stakeholders, ensuring accuracy and integrity of data
  • Stay abreast of industry trends, lateral hiring moves and practices, and competitive market developments
  • Log and process recruitment invoices when required
  • Provide general administrative support to the Lateral Partner Recruitment team and assist with ad hoc projects when required

Qualifications, Experience and Personal Attributes

Education/Training/Certifications:

  • BA or BS degree; previous law firm experience preferred
  • Minimum of 2 years’ experience in recruiting, preferably in a law firm or professional services environment. Prior legal recruiting experience with lateral partner recruiting is strongly preferred

Professional Experience:

  • Previous experience in an administrative, coordination, recruitment, or professional services support role
  • Experience supporting interview scheduling, calendar management, or recruitment coordination would be beneficial 

Technical Skills:

  • Proficiency in Microsoft Office products
  • Proficient with applicant tracking systems (ATS) such as LawCruit and viDesktop

Performance Traits:

  • Ability to work in a busy, fast-paced environment sometimes under pressure and adhering to tight deadlines
  • A strong administrative background with highly developed organizational skills and exceptional attention to detail
  • A proactive approach and willingness to learn
  • Possess excellent written and strong communication skills
  • Ability to be discreet and maintain confidentiality at all times
  • Confidence working with a range of internal and external stakeholders in a professional environment
  • Ability to prioritize tasks, stay organized, and manage multiple scheduling requests effectively
  • Strong IT skills with literacy in Microsoft packages including Outlook, Word, Excel and PowerPoint
  • Adaptable, flexible and reliable
  • Personable with strong team-based work ethic

Posted Pay Range

The typical pay scale for this position is between USD $69,000.00/Yr. and USD $92,000.00/Yr., although the actual wage or salary could be lower or higher if the candidate's education, experience, skills and internal pay alignment are different from those specified.
